Approving a Quote with the Client

The Client can access only the “Quote” and “Client Payments” tabs. Access to these tabs is granted as soon as you invite the Client to the Work Package. The “Quote” tab contains the information intended for the Client and is where you review and approve the Quotation together. The Client cannot see costs or markups.

Send the Client a link to the Quotation.
The link gives the Client access to one specific Work Package.
Add one or more Client email addresses to the Work Package and invite them to collaborate in Smetter.
Export the Quotation as a PDF or Excel file

Smetter supports several ways to collaborate with a Client. First, click “Add client.” You can then:

  • Send the Client a link to the Quote. The Client will have access only to that Work Package (1);
  • Add one or more Client email addresses to the Work Package and invite them to collaborate in Smetter. (2). Client must register with Smetter to create a Client Portal, where they can comment on and approve Quotes, view all Work Packages for the Project, and see consolidated financial information and payments;
  • Smetter also includes a built-in chat that you can use to communicate with the Client in the mobile app or on the website. This option creates a Client Portal for the Project;
  • Regardless of the collaboration method, the Client will see only the “Quote” tab within the Work Package. All other tabs and information will remain unavailable to them. After you add the Client’s email address, the Work Package changes to “Approval” status, but you can continue making changes based on the Client’s comments;
  • Another option is to export the Quote as a PDF or Excel file(3) and send it to the Client.

A Project Manager cannot assign themselves as the Client. Regardless of the collaboration method, the Client cannot see costs, markups, or any other confidential information.

The payment schedule for the Work Package is available on the “Client Payments” tab. The Client can:

  • View the payment schedule for the Work Package;
  • View payments made by the Client;
  • View the current Work Package value, the Value of Work Performed, and the Client’s Outstanding Value;
  • Download invoices for the scheduled payment amount or the current Outstanding Value.

Result: convenient collaboration with the Client without sending files through messaging apps or email.
