Schedule and Calendar Planning

The Schedule includes automation tools that let you quickly plan work and material deliveries for a Work Package, create an attachment to the Client contract, and track current progress. In Smetter, the Schedule is displayed as a Gantt chart.

We recommend planning the Schedule collaboratively and involving colleagues responsible for their respective areas of work.

Dates from the Schedule are automatically displayed on the Purchasing tab, indicating when material ordering should begin and when delivery to the site is due. The same dates are shown on the Works tab, indicating the deadlines for completing the work.

Work Planning

  • You can plan a Stage by specifying its duration in the “Days” column and moving the bar along the calendar grid, or by setting the dates manually in the calendar;
  • Smetter automatically sequences all trade items within the Stage and creates Finish-to-Start (FS) dependencies between them. This means that each subsequent item starts only after the previous one is completed. The system calculates the duration of each line item proportionally, based on the total duration of the Stage and the number of items it contains. You can easily adjust dates and manually edit or delete these dependencies;
  • To create a finish-to-start dependency, hover over the right end of a bar on the Schedule, click the circle that appears, and then click the bar of another item;
  • To delete a dependency, hover over its arrow and click the cross that appears;
  • To remove planned dates for a Stage, assembly, or item, enter 0 in the “Days” column;
  • The specified dates will appear on the Works tab and inform employees of their deadlines.

Purchase Planning

  • If the Work Package contains materials with lead times that differ from your company’s standard delivery times, we recommend setting dates manually only for those materials and using automatic scheduling for all other items.
  • Materials are displayed when the “Display materials” toggle is enabled (1);
  • The Schedule uses start-to-finish dependencies for deliveries. This means that a material must be delivered no later than the start of the Labor item it is linked to(2);
  • To create a start-to-finish dependency, hover over the left end of a bar on the Schedule, click the circle that appears, and then click the bar of another item.
  • To automatically schedule deliveries of materials, transportation, and equipment, click “Schedule purchases” (3);
  • In the window that opens, specify how many days deliveries usually take (4). You can change the default delivery times under “Company” → “Settings,” in the “Schedule settings” section;
  • Smetter determines which Labor item each material must be delivered before and places all unscheduled deliveries ahead of the relevant Labor items.

Tracking Progress in Planned vs. Actual Mode

  • After the Work Package is moved to “In Progress,” the Schedule switches to planned vs. actual mode;
  • Gray bars indicate planned dates (1), while colored bars indicate actual dates (2);
  • To display actual progress correctly, employees must enter information about completed Labor and purchased Materials on time;
  • If the actual dates for an item differ from the planned dates, the system updates the dates for that item and all linked items.

Exporting the Schedule

  • To export the Schedule, click “Export” and select the required document. The Planned schedule can be provided to the Client and attached to the contract;
  • The Planned vs. actual schedule is intended for tracking current progress. Actual dates are shown as colored cells, while planned dates are indicated by a thick top border;
  • ou can also export the Schedule from the Documents tab. The Planned schedule is located in the “Documents for the Client” section, while the Planned vs. actual schedule is in the “Internal Documents” section;
  • In the modal window that opens, configure the document settings and click “Export.”

Employee Access to the Schedule

  • The Schedule is available to Project Managers assigned to the Work Package;
  • Access can be granted to any company employee;
  • The Schedule is not available to Clients or Subcontractors.

Result: quick calculation of Work Package timelines, significantly simplified purchasing operations, faster Work Package execution, and on-time Project completion.
