Working with a Deal

A deal card brings together everything you need to work with a specific Client: contact details, the project brief and future Project details, the history of agreements, tasks, and the current deal status.
Keep the deal card up to date as you communicate with the Client, record the outcomes of calls and meetings in Notes, and plan next steps with Tasks.

When the sale moves into the construction phase, you can add a Project to the deal and continue working in Jobs workspace.

Edit details directly in the deal card
The “Deal details” section contains the key information about the Client and their request: contact details, source, future Project details, estimated budget, Client stage, urgency, Expected close date, and other information.

To edit information, click the field you want to change (1) and enter the new value. Changes are saved after you confirm the entry by Enter or move to another field. You do not need to complete the entire card at once — update it as you continue communicating with the Client.

Notes in the CRM deal card

Review the interaction history
Attach files
Add a note
You can record the outcomes of meetings, calls, negotiations, and other agreements in the “Notes” section. (1).
You can attach files to a note. (2).
All notes are saved in a single timeline (3). Each entry shows the author and the time it was added, so employees can easily review the history of work on the deal.

“Spoke with the Client; they asked us to recalculate the second floor” → note.
“Send the revised estimate by Friday” → task.

Tasks in CRM

Open the task
Mark as completed
Track the due date and assignee
Create a task
If a deal requires a next step—for example, calling the Client back, preparing a proposal, or sending documents — it is convenient to create a task (1). You can assign an employee and a due date to each task. (2).

Click the task (3) to open it and edit its details. You can mark it as completed directly in the list (4).
Tasks created from a deal are part of Smetter’s main Tasks module. They appear in the “Tasks” section and follow the same rules. Learn more about Tasks on a separate page.

If a Project has already been created for the deal, it is automatically selected in the “Project or work package” field when you create a task. You can change the selection if needed.

CRM uses Smetter’s shared task system. A task created from a deal also appears in the main “Tasks” section, so Sales Managers do not need to maintain a separate to-do list inside CRM.

Changing Deal Status in CRM

Choose the next action
Change the deal stage
To make lead management easier, you can quickly change the current deal stage directly from the deal card (1). No additional action is required when moving a deal to another pipeline stage.

Use the “Quick actions” section (2) to return the deal to the active pipeline, move it to Follow-up, or mark it as Lost. Available actions depend on the deal’s current status. When moving a deal to Follow-up, you will need to specify the next contact date; when marking it as Lost, you will need to provide a lost reason.

How to Add a Project to a Deal

nce the contract with the Client is signed, you can add a Project to the deal and continue working in Jobs workspace. The “Project details” section will then appear in the deal card with information and tools for managing the construction Project. Learn more about working with the Project on the “From Deal to Project” page.
